New Feature: Collection Folders

The Collections Application is a powerful collaboration tool that allows you to curate Discovery Watchlist Mentions and Search Results and organize, share and extend your content with your team and beyond. A long-awaited feature enhancement for the Collections is the ability to organize your content in Folders. Similar to Folders already available in the Discovery, with this new release, you now have the ability to create multi-level Folders in the Collections App to manage your content how you see fit.

  • Delete Folders with Confirmation: Folders that contain child folders and Collections are protected by a Delete confirmation popup to limit accidental deletion of org shared folders

Creating a New Collection

Creating a new Collection is now easier than ever and can be done in a number of ways:

Using the New Button:

  1. Click on the New Button located at the top left of the Collections App homepage.
  2. Select the Collection option from the drop down menu.
  3. The New Collection popup will appear:
  4. Click the Save button.

Inside of an Empty Folder:

  1. Locate an empty Folder in the Left Panel.
  2. Click the Folder.
  3. Click the +Add New Collection button link on the page:

Creating a New Folder

Creating a folder is simple and fast:

  1. Locate the New Button on the top left of the Collections App window.
  2. Click the button and select Folder.
  3. Give your Folder a name.
  4. Click Create.
  5. Your Folder will be placed in the Folder Panel located on the left side of your window.

Note: Selecting a pre-existing Folder from the Left Panel will determine where your new Folder is located after creation. For example, if you select Folder A from the Left Panel and follow the instructions above, your newly created Folder will be nested within Folder A.

Also, note that all Folders are organized alphabetically in the Left Panel of your Collections App.


Edit and Delete a Folder

You have the ability to quickly edit a Folder name or remove that Folder and it’s content from your application.

To Edit a Folder name:

  1. In the Left Panel, locate the Folder that you would like to edit.
  2. Hover over the Folder with your cursor and click the 3 Dot Action Menu for that Folder.
  3. Click the Rename option.
  4. Give your Folder a New Name.
  5. Click Submit.

To Delete a Folder:

You can remove a Folder and all of its contents by following these steps.

To Delete a Folder that is empty:

  1. In the Left Panel, locate the Folder that you would like to delete.
  2. Hover over the Folder with your cursor and click the 3 Dot Action Menu on that Folder.
  3. Click the Delete Option.
  4. Click Submit on the confirmation popup.

To Delete a Folder that has contents:

  1. In the Left Panel, locate the Folder that you would like to delete.
  2. Hover over the Folder with your cursor and click the 3 Dot Action Menu on that Folder.
  3. Click the Delete Option.
  4. A pop-up confirmation will require you to type in “DELETE” and click Submit.

Note: This action can not be undone and you will remove all Folders and Collections in this Folder.

Moving a Folder

You can move a Folder and all of its content into another Folder of your choice.

To move a folder and its contents:

  1. In the Left Panel, locate the Folder that you would like to delete.
  2. Hover over the Folder with your cursor and click the 3 Dot Action Menu on that Folder.
  3. Click the Move Option.
  4. The Move Folder popup window will appear.
  5. Select the new Folder location by clicking on a Folder you would like to move your content to.
  6. You may also choose to create a new Folder by clicking the New Folder button and giving this folder a name.
  7. Click Submit to move your Folder and its contents.

Searching a Folder name in the Left Panel

If your Collections App has many Folders in the left panel, you have the ability to quickly locate a folder by using the Search Folders feature at the top of the Left Panel.

To Search by Folder Name:

  1. Locate the Search input field on the top of the Left Panel.
  2. Begin typing the name of the Folder you would like to locate.
  3. The list will display all matching Folder names for you.

Note: Remember to clear your folder name search in order to view all Folders again.
