This article will cover the process and general information for how shared objects can be viewed by a recipient.

Recipients have two primary ways to view the objects shared with them. They can click a provided link/URL that will navigate them directly to the object, or they can see a list of objects shared with them, and from that list they can navigate to the object.

Viewing via URL

When a share is created the system will either send a notification email with a URL to the recipients, or provide a set of URLs that can be copied and manually sent to the recipients.

When the recipient clicks the URL, it will load a page that displays the object.

If the share URL includes a share key like: dmh.sitename.com/search/asset/123456;share_key=693610df1833a2ce94dae2cd195e2448 that indicates it can be used by anyone.


Viewing via the 'Shared with me' list

All Digital Media Hub Users will now have access to the new 'Shared with me' option in their profile menu.

Once the user has selected the 'Shared with me' a new page will load that lists the objects that have been shared with them.

Within the 'Shared with me' page there are several items that will provide users additional information about the Asset or Collection that has been shared with them, these include:

  • The object type (Asset or Collection)
  • The object name (Asset ID or Collection Name)
  • When the share was created
  • Who created the share (name and email address)
  • The share status (active, canceled or expired)
  • The access role the share providers (viewer or editor)
  • When the share expires
  • If the delivery options are 'standard' or 'custom'
  • Standard delivery options indicates the sharer hasn't customized the options
  • Custom delivery options indicates the sharer selected specific delivery options

Selecting or clicking an item will naviagte the user to the object, this would be an Asset Detail page or Collection page.


Pagination, Sorting and Filtering

If the list of shared items is greater than 50, the list will be displayed across multiple pages.

By default the list of shared items is sorted with the most recently created shares first. The list can also be sorted based on the share expiration date.

In addition to the sorting functionality. the list of shares can be filtered by share status (active, expired or canceled). Share type can also be filtered by Assets or Collections.

  • The status and type filters can be combined, for example a user can filter the list to only expired collection shares.

Searching

Clicking the search icon expands an input that allows searching by share creator email. For example, searching for [email protected] will display all shares sent to you by that user.


Viewing via the 'Shared from me' list

Users with permissions to create shares will have a new 'Shared from me' option in their profile menu

Once the user has selected the 'Shared from me' a new page will load that lists the objects that the user has shared with others.

Within the 'Shared from me' page there are several items that will provide users additional information about the Asset or Collection based on the share, these include:

  • The object type (Asset or Collection)
  • The object name (Asset ID or Collection Name)
  • When the share was created

  • The share status (active, canceled or expired)
